We are seeking a detail-oriented and experienced Staff Accountant with a strong background in the construction industry and the ability to work collaboratively across departments to join our finance team.

Position Overview

The Staff Accountant will play a key role in helping manage the core accounting functions, ensuring compliance with generally accepted accounting principles (GAAP) and industry-specific standards, and providing accurate financial reporting to support strategic decision-making in a multiple entity structure. This role requires knowledge of construction accounting and multiple entity intercompany transactions.

Key Responsibilities

Accounts Receivable 

  • AIA/schedule of values (SOV) monthly billing with change orders and retainage. Knowledge of all lien waivers and special documents with AIA billing. 
  • Time & material and work order ticket billing 

Cash Management  

  • Making daily remote deposits & manual deposits along with entry into system. 
  • Bank reconciliations. 
  • Maintain a daily cash spreadsheet. 
  • Collections efforts for each entity. 

Accounts Payable

  • Entry of invoices into multiple entities 
  • Intercompany activity entries and balancing 
  • Weekly check runs 
  • Maintain vendors with W-9 forms and COI’s  
  • Form 1099 vendor printing and filing 

Payroll  

  • Weekly payroll process for some of the entities and back-up for all entities. 
  • Submission of weekly 401K contributions, wage garnishments, etc. 
  • Reconciling all payroll GL accounts. 
  • Understanding of prevailing wage project rates and reporting requirements 

General Ledger  

  • Various GL duties with journal entries and proper reconciliation of GL accounts on a regular basis. 
  • Assist with monthly financial statement closing and packages. 

Equipment/Vehicle Duties  

  • Maintain fixed assets/depreciation schedules for additions and dispositions. 
  • Accurate calculation of gain/loss of fixed assets. 
  • Maintain accurate and up-to-date equipment and vehicle listing. 
  • Internal expert of all vehicle and equipment filings such as UCR registrations, apportionment renewals, IFTA returns, Form 2290 Heavy Highway, etc. Stay current with all DOT requirements and compliance items. 

Miscellaneous Duties  

  • Prepare and file all sales and use tax, gross receipts, and BPT returns for multiple entities and states. 
  • Keep all contractor and municipal licenses current. 
  • Maintain and reconcile all intercompany transactions. 
  • Assist CFO with annual insurance premium audits, ESOP audit, 401K year-end testing and audit. 
  • Assist CFO with year-end review of financial statements with outside accounting firm.  
Qualifications
  • Bachelor’s degree in accounting, Finance, or related field required. 
  • Minimum of three (3) to (5) years of accounting experience, with prior construction industry experience strongly preferred. 
  • Proficiency in construction accounting software (e.g., Foundation, or similar) and Microsoft Excel. 
  • Excellent analytical, problem-solving, and communication skills. 
  • Ability to manage multiple assignments and meet deadlines in a fast-paced environment.
